This policy explains how The Leap Europe handles personal information when you use this website, contact us or use our services: what we collect, why, who receives it, how long we keep it and the rights you have.

Both founders decide together how personal information is handled, and you may contact either of them about any privacy matter. Further provider information is available in our Impressum.

2. Enquiries and consultancy services

When you request a Profile Evaluation or enquire about a 1:1 consultation, we collect the details requested on the form: your name and contact details, information about your studies or current situation, and your question or availability. When you contact us by email or WhatsApp, or meet us on Microsoft Teams, we process the information you choose to share.

Website submissions are stored in our website database and are normally also available in an administrative workspace provided by Google, which we use to review and respond to requests. Occasionally, a submission may be held in only one of the two.

We use this information to respond to your request and to arrange and deliver the services you ask for (Article 6(1)(b) GDPR). For general questions unrelated to a service, we rely on our legitimate interest in responding to you (Article 6(1)(f) GDPR). Required fields are marked on each form; without them, we cannot handle your request. An enquiry does not subscribe you to marketing communications.

3. Academic documents and retention

For an evaluation or consultancy engagement, you may provide academic documents such as your CV, transcripts, and degree or school certificates. These are normally sent by email or WhatsApp rather than through our website forms. Please send only the documents relevant to your request.

We use these documents and our related evaluation notes to assess your academic background, deliver the services you request, and keep a record of earlier guidance and application progress, so that we can support you if you return without repeating previous work. Access is restricted to the founders. The legal basis is Article 6(1)(b) GDPR while a service is being provided and, thereafter, our legitimate interest in continuity of support (Article 6(1)(f) GDPR).

We retain academic documents only for as long as necessary for these purposes, generally for no longer than 12 months from receipt unless they are still needed for a service in progress. They may be deleted earlier when no longer required, and you may request their deletion at any time, subject to applicable legal obligations.

We do not sell academic records or use them for unrelated commercial purposes. We share them only where necessary for a service you have requested, for example in support of a university application you have asked us to assist with.

4. The Leap Lab and optional communications

Registrations. When you register for a Leap Lab session, we collect the details requested on the form, including your name, contact details, whether you are currently in Germany and any session-specific answers. We use them to manage your place, send joining details and prepare the session (Article 6(1)(b) GDPR). Registrations are stored in our website database and are normally also available in our Google administrative workspace.

Community. Joining our WhatsApp community is optional and never a condition of registration. It is based on your consent (Article 6(1)(a) GDPR), which you may withdraw at any time by leaving the group or contacting us. Depending on the group’s settings, other members may be able to see your name and phone number.

Topic suggestions and repeat sessions. Topic suggestions may be submitted anonymously, and we use them to plan future sessions (Article 6(1)(f) GDPR). Any contact details you add are used only to reply to you or, where you ask, to add you to our community or notify you of a repeat session (Article 6(1)(a) GDPR). To avoid duplicate requests, the Lab page may keep a small note in your browser that contains no personal information.

Scheduling. Where session times are still being decided, the public chart shows aggregate counts only.

Optional updates. If you ask to receive updates from us, we use your email address for that purpose on the basis of your consent (Article 6(1)(a) GDPR). You may unsubscribe at any time.

5. Website operation and analytics

Hosting. Our hosting provider processes technical connection data, such as your IP address, to deliver the website and keep it secure (Article 6(1)(f) GDPR).

Privacy-conscious analytics. We measure use of the website only through aggregate daily counts of page views and selected actions. We do not set analytics cookies, create visitor identifiers, store IP addresses for analytics, or use advertising, cross-site tracking or third-party analytics services (Article 6(1)(f) GDPR).

Web fonts. The website loads its typefaces from Google Fonts, so your browser connects to Google’s servers, which receive your IP address. We use the service only to display the website consistently (Article 6(1)(f) GDPR).

The Leap Pulse survey. The Leap Jobs may invite visitors to complete a short, voluntary and anonymous survey. Answers are added only to aggregate counts. We do not store an individual response record or a survey identifier. Individual answers are not shared with language institutes or other course providers. We do not publish live survey totals or question distributions, and any future findings will reflect voluntary responses, which are not representative market research.

External websites. Universities, authorities, social platforms and other services we link to are responsible for their own handling of personal information.

6. Service providers and international transfers

We use the following providers to operate the website and deliver our services:

  • Render (Render Services, Inc.): hosting of the website, its server application and database.
  • Google: Google Sheets and Google Apps Script for our administrative workspace, Google Drive for private storage of academic documents, and Google Fonts.
  • Microsoft: email and Microsoft Teams consultations.
  • WhatsApp: messaging and community groups, which WhatsApp processes under its own terms and privacy policy.

Render, Google and Microsoft are based in the United States or may process personal data there. Each participates in the EU–US Data Privacy Framework, for which the European Commission has adopted an adequacy decision (Article 45 GDPR).

We do not sell personal information, and we do not pass enquiry or registration details to universities, agents or employers for their own marketing. Beyond the cases described in this policy, we disclose personal information only where required by law.

7. Retention

We keep personal information only for as long as it is needed for the purpose for which it was collected:

  • Enquiries and service records: for as long as needed to handle your request, any resulting service and related follow-up questions.
  • Academic documents: generally no longer than 12 months from receipt, as described in section 3.
  • Leap Lab registrations and topic suggestions: up to 24 months, unless no longer needed earlier.
  • Consent-based communications: until you withdraw your consent.
  • Records we are legally required to keep, such as invoices and related business correspondence: for the periods prescribed by German commercial and tax law.

Deletion removes information from our working records and accounts. Copies held in the backups or systems of service providers are subject to those providers’ own retention processes.

8. Your rights

You have the right to access your personal information, to have it corrected or deleted, to restrict its processing and to receive it in a portable format. Where processing is based on consent, you may withdraw your consent at any time, without affecting the lawfulness of processing before the withdrawal.

Right to object. Where we process your information on the basis of our legitimate interests (Article 6(1)(f) GDPR), you may object at any time on grounds relating to your particular situation. You may also object to direct marketing at any time.

You may also lodge a complaint with a data protection supervisory authority, in particular in the EU member state where you live or work. The authority responsible for us is the Unabhängiges Datenschutzzentrum Saarland.

We do not use automated decision-making, including profiling, that produces legal or similarly significant effects for you. We update this policy when our practices change; the date above shows the latest revision.
